Citizens Behavioral Health provides compassionate behavioral health services for adults through our Day Program and outpatient treatment programs. We proudly support veterans and their families by helping connect them with quality care, community resources, and recovery-focused services.

We are seeking an organized, detail-oriented, and service-minded Administration VE Coordinator to support daily program operations while helping strengthen our Veterans Engagement initiatives. This role is ideal for someone who enjoys administration, community outreach, and making a meaningful impact in the lives of veterans and behavioral health clients.

Position Summary

The Administration VE Coordinator serves as the central point of coordination for administrative operations, client services, scheduling, records management, and veteran engagement activities. This position works closely with clinical staff, leadership, veterans, and community partners to ensure smooth operations and exceptional client experiences.

Key Responsibilities

Program Administration & Operations

  • Coordinate client intake, scheduling, attendance tracking, and discharge processes.
  • Maintain organized client records and support documentation management.
  • Assist with daily scheduling, room assignments, and operational coordination.
  • Manage incoming calls, referrals, and front-office communications.
  • Provide professional and compassionate support to clients and families.

Veterans Engagement & Community Outreach

  • Serve as a primary point of contact for veteran referrals and engagement activities.
  • Assist veterans in accessing community resources, support services, and treatment opportunities.
  • Build relationships with veteran-focused organizations and community partners.
  • Coordinate veteran outreach initiatives, educational events, and recognition programs.
  • Track participation and engagement metrics for veteran services.

Records Management & Compliance

  • Maintain confidentiality and privacy of client information.
  • Support document organization, audit preparation, and record maintenance.
  • Monitor staff credential files, training records, and renewal deadlines.
  • Assist with administrative processes related to insurance verification and billing support.
  • Ensure records are accurate, complete, and properly maintained.

Administrative & Leadership Support

  • Assist organizational leadership with reports, meetings, and special projects.
  • Order office and program supplies and coordinate vendor communications.
  • Support day-to-day operational needs of the behavioral health program.
  • Help create a welcoming, professional, and supportive environment for clients and staff.

Required Qualifications

  • High School Diploma or GED required.
  • Associate’s or Bachelor’s Degree in Healthcare Administration, Psychology, Social Work, or a related field preferred.
  • Minimum 2 years of administrative, coordination, healthcare, or community service experience.
  • Proficiency with Microsoft Office, Google Workspace, and electronic record systems.
  • Strong organizational, communication, and problem-solving abilities.
  • Ability to manage multiple responsibilities in a fast-paced environment.
  • Commitment to professionalism, confidentiality, and client-centered service.

Preferred Qualifications

  • Veteran, military spouse, or experience working with veterans and military families.
  • Experience in behavioral health, healthcare administration, or community outreach.
  • Knowledge of veteran resources and support programs.
  • Experience with client records, scheduling systems, or electronic health records.
  • Bilingual communication skills.
