We are seeking a highly organized and motivated Administration VE Coordinator to support daily operations while helping strengthen our Veterans Engagement initiatives. This role is ideal for someone who enjoys administrative work, client interaction, community outreach, and making a meaningful impact within a growing healthcare organization.
Position Summary
The Administration VE Coordinator serves as a key administrative and operational support team member, helping ensure smooth program operations, accurate record management, client scheduling, and veteran outreach efforts. This position works closely with clinical staff, leadership, referral partners, and veterans to support quality services and positive client experiences.
Key Responsibilities
Program Administration & Operations
- Manage client intake processes, scheduling, attendance tracking, and discharge coordination.
- Maintain accurate client records and assist with documentation management.
- Coordinate room assignments, program schedules, and daily operational needs.
- Answer incoming calls, assist visitors, and provide excellent customer service.
- Support efficient communication between clients, staff, and community partners.
Veterans Engagement Coordination
- Serve as a primary contact for veteran referrals and community outreach efforts.
- Assist veterans in accessing available resources and support services.
- Coordinate communication with veteran-focused organizations and referral partners.
- Track participation and engagement activities for reporting purposes.
- Support veteran-focused events, educational programs, and community initiatives.
Compliance & Records Management
- Maintain confidentiality and privacy standards for all records and communications.
- Assist with audit preparation, document organization, and record maintenance.
- Monitor staff credential records, training documentation, and renewal schedules.
- Support administrative tasks related to insurance verification and billing coordination.
Administrative Support
- Assist leadership with reports, meeting preparation, and special projects.
- Order office and program supplies as needed.
- Maintain organized administrative systems and workflows.
- Help create a welcoming and professional environment for clients and visitors.
Required Qualifications
- High School Diploma or GED required.
- Associate’s or Bachelor’s Degree in Healthcare Administration, Social Work, Psychology, or a related field preferred.
- Minimum 2 years of administrative, coordination, or healthcare support experience.
- Proficiency with Microsoft Office, Google Workspace, and electronic record systems.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Commitment to professionalism, confidentiality, and excellent client service.
Preferred Qualifications
- Experience working with veterans, military families, or veteran-focused programs.
- Knowledge of behavioral health or healthcare administrative processes.
- Experience with client records, scheduling systems, or electronic health records.
- Bilingual communication skills.
- Relevant certifications or professional credentials.
