We are seeking an experienced Billing & Records Manager to oversee revenue cycle operations, insurance billing, client records management, authorizations, and compliance activities. This position plays a critical role in supporting both financial performance and regulatory readiness across the organization.

Position Summary

The Billing & Records Manager is responsible for managing billing processes, insurance claims, client records, utilization review support, and documentation compliance. Working closely with leadership, clinical staff, and administrative personnel, this role helps ensure accurate reimbursement, secure record management, and operational excellence.

Key Responsibilities

Revenue Cycle & Billing Management

  • Verify insurance eligibility and benefits for new and existing clients.
  • Coordinate prior authorizations and treatment approvals with insurance providers.
  • Submit, track, and monitor insurance claims and billing activities.
  • Review claim denials, resolve billing issues, and support reimbursement recovery efforts.
  • Maintain accurate billing records and payment documentation.
  • Prepare billing reports and support financial tracking activities.

Medical Records & Documentation Management

  • Maintain complete, accurate, and secure client records.
  • Manage intake documentation, treatment records, assessments, and discharge files.
  • Monitor record completeness and documentation quality.
  • Process authorized requests for records and information releases.
  • Maintain records retention and document management procedures.
  • Support electronic health record (EHR) administration and user access management.

Compliance & Quality Assurance

  • Conduct routine chart reviews and documentation audits.
  • Support organizational compliance initiatives and quality improvement activities.
  • Prepare records and documentation for audits, reviews, and inspections.
  • Maintain staff credential, licensure, and training documentation.
  • Support privacy, confidentiality, and records security practices.
  • Assist with policy implementation and staff training related to documentation standards.

Authorization & Utilization Review Support

  • Coordinate authorization requests and continued service approvals.
  • Track authorization timelines, approvals, and renewal requirements.
  • Collaborate with clinical staff to obtain supporting documentation.
  • Support utilization review processes and documentation preparation.
  • Monitor service authorizations to help prevent interruptions in care.

Leadership & Administrative Support

  • Provide guidance and support for administrative and records management processes.
  • Assist with staff training related to billing, records, and compliance procedures.
  • Coordinate communication with insurance providers, auditors, and external partners.
  • Support operational reporting and process improvement initiatives.
  • Collaborate with leadership on revenue cycle and compliance strategies.

Required Qualifications

  • High School Diploma or GED required.
  • Associate’s or Bachelor’s Degree in Health Information Management, Business Administration, Healthcare Administration, or a related field preferred.
  • Minimum 3 years of experience in medical billing, healthcare administration, records management, or revenue cycle operations.
  • Experience working with insurance claims, authorizations, and electronic health record systems.
  • Strong understanding of healthcare documentation and records management practices.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Strong communication and customer service abilities.

Preferred Qualifications

  • Experience in behavioral health, mental health, or substance use treatment settings.
  • Experience with utilization review, authorizations, and insurance reimbursement processes.
  • Knowledge of healthcare compliance and medical records audits.
  • Professional certifications such as CPC, CMRS, RHIT, RHIA, or related credentials.
  • Experience using healthcare billing and electronic health record software.
